Data Controller

The data controller is AEGEE-İstanbul (İstanbul Avrupa Gençlik Forumu Derneği / Istanbul European Youth Forum Association).

Personal Data We Process

When you fill in the membership application form, we process:

• Full name
• Email address
• Phone number (optional)
• Date of birth
• University / field of study (optional)
• How you heard about AEGEE
• Whether you have attended an AEGEE event before
• Your application motivation text

Purposes of Processing

We process this data to:

• Review your membership application and run the selection process
• Contact you about your application
• Carry out membership, confirmation and onboarding processes

Legal Basis

Your data is processed on the basis of your explicit consent under Article 5 of the KVKK. By ticking the consent box on the application form you give explicit consent to this processing. You may withdraw your consent at any time via aegee@aegeeistanbul.org.

Retention Period

We keep your data for 2 years after the application process concludes, then delete it automatically. If you become a member, it is kept for the duration of your membership.

Data Sharing & Processing Abroad

We do not sell or share your data with third parties for marketing. Only the technical service providers we use process your data on our behalf:

• Supabase — database hosting
• Resend — sending application notification emails
• Vercel — website hosting
• Cloudflare — domain (DNS) and content delivery
• Google Workspace — organisational email

International Transfer Notice

Some of these providers may host servers outside Turkey (e.g. the US / Europe). By submitting your application you give explicit consent, under the KVKK, to your data being processed abroad through these services.

Your Rights (KVKK Article 11)

As a data subject, you have the right to:

• Learn whether your personal data is being processed
• Request information if it has been processed
• Learn the purpose of processing and whether it is used accordingly
• Know the third parties to whom it is transferred, at home or abroad
• Request correction if it is incomplete or inaccurate
• Request its deletion or destruction
• Request that corrections/deletions be notified to third parties it was shared with
• Object to a result against you produced solely by automated analysis
• Claim compensation if you suffer damage due to unlawful processing

How to Exercise Your Rights

To exercise your rights, send your request to aegee@aegeeistanbul.org. We will respond as soon as possible and within 30 days at the latest.

Cookies

Our website uses no analytics, advertising or profiling cookies. At most a strictly necessary functional cookie may be used to remember your language preference; it collects no personal data and requires no consent.
